Provident Fund (PF) Registration refers to the process of registering an organization or business with the Employees’ Provident Fund Organization (EPFO) in India. It is mandatory for businesses with 20 or more employees to register under the Employees’ Provident Fund (EPF) scheme. Here’s a breakdown of the PF registration process and key details.

Eligibility for PF Registration

Companies with 20 or more employees: Any organization employing 20 or more individuals must register for PF. In certain cases, companies with fewer employees can voluntarily opt for PF registration.

Mandatory for specific sectors: Certain sectors like jute, beedi, cinema, etc., have mandatory registration regardless of the number of employees.

Employees’ salary threshold: Employees earning a basic salary of ₹15,000 or more are eligible for mandatory PF contributions. Employees earning less can also voluntarily register.

Required Documents for PF Registration

  1. PAN card of the company.
  2. Certificate of incorporation (for companies) or partnership deed (for partnerships).
  3. Address proof of the business (utility bills, lease/rental agreement, etc.).
  4. Details of employees: Names, ID proofs, salary structure, etc.
  5. Bank account details: For the business establishment.
  6. Proof of business activity: License issued by a relevant authority.

Steps for PF Registration

Step 1: Sign up on the EPFO Portal

  • Go to the EPFO Unified Portal for employers: Unified EPFO Portal
  • Select the “Establishment Registration” option.

Step 2: Fill in the Company and Employee Details

  • Complete the online registration form, providing essential details such as company name, address, owner’s details, employee details, and wage details.

Step 3: Submit Required Documents

  • Upload all required documents, such as PAN, Certificate of Incorporation, proof of business, and employee details.

Step 4: Digital Signature

  • Employers must sign the registration form using a Digital Signature Certificate (DSC). The DSC must be registered with the EPFO portal.

Step 5: Get Establishment Code

  • Once submitted and verified, the EPFO issues a unique Establishment Code, which is used for all PF-related activities.

EPF Contribution Rates

  • Employee’s contribution: 12% of basic wages + DA (Dearness Allowance).
  • Employer’s contribution: 12% (8.33% to the Employees’ Pension Scheme and 3.67% to the EPF account).

PF Compliance

  • Monthly return filing: Employers must file monthly returns via the EPFO portal.
  • PF payments: Contributions must be paid by the 15th of every month.
  • UAN (Universal Account Number): Each employee will be assigned a unique UAN, which links all of their PF accounts.

  • EPFO provides a Grievance Redressal Portal for employees and employers to address any issues related to PF. Complaints can be filed online at the EPFO Grievance Portal.
